1. Background

The East African Business Council (EABC), in partnership with the Tanzania Chamber of Commerce, Industry and Agriculture (TCCIA) and AGRA, is implementing the project titled:
“Promoting Intra-EAC Agri-Food Cross-Border Trade by Addressing Non-Tariff Barriers (NTBs) to Trade.”

The project aims to enhance the participation of women and youth-led agri-food traders and improve cross-border trade in key agricultural products such as maize, maize flour, rice, beans, soybeans, and horticultural goods. Border corridors targeted under this initiative include:

  • Taveta/Holili
  • Busia
  • Nimule/Elegu
  • Serari
  • Kibirizi/Kigoma
  • Mutukula/Kagera
  • Namanga
  • Tunduma/Mbeya

To support access to trade-related information, Trade Information Booths will be established at these key border points. These booths will be equipped with tents, chairs, and table to serve as physical stations where traders can receive guidance and services related to trade facilitation tools such as the EAC Simplified Trade Regime (STR) and NTB reporting mechanisms.

 

2. Objective of the Assignment

EABC invites reputable and qualified suppliers to submit proposals and quotation for the supply of tents, PVC, chairs, and tables for  the Trade Information Booths across the target border corridors.

 

3. Scope of Work

The successful supplier will be expected to:

a) Tents

  • Supply and deliver 1 heavy-duty outdoor tents/pvc materials;
  • Specifications:
    • Minimum size: 3m x 3m;
    • Waterproof and UV-resistant fabric;
    • Strong steel or aluminum frame;
    • Easy-to-assemble design with anchoring capability;
    • Branding with EABC–TCCIA–AGRA logos (artwork to be provided);
    • Include side covers, anchoring accessories, and carry/storage bags.

b) Chairs

  • Supply and deliver 4 chairs
  • Specifications:
    • Durable material suitable for outdoor use;
    • Easy to store and transport;
    • Uniform color (preferably neutral or branded, as advised).

c) Tables

  • Supply and deliver 1 tables
  • Specifications:
    • Minimum surface area: 1.8m x 0.75m;
    • Sturdy, waterproof top
    • Suitable for outdoor use.

d) Warranty and Support

  • Provide a minimum 12-month warranty on all supplied items;
  • Availability of replacement parts or support in case of damage.

 

4. Delivery Timeline and Locations

  • Delivery must be completed within 15 days from the date of contract signing.
  • Delivery point: EABC Headquarters in Arusha, Tanzania, with support for coordination to the target border locations as needed.

 

5. Proposal Requirements

Interested suppliers must submit the following:

  • Company profile with experience in supplying equipment;
  • Technical specifications, photographs;
  • Financial proposal with detailed unit and total cost (including taxes);
  • Warranty and after-sales service information;
  • Valid business registration and tax compliance certificates;

Deadline for submission: 8th May 2025 no later than 5:00 PM EAT.
Late or incomplete proposals will not be considered.

 

7. Evaluation Criteria

Proposals will be evaluated based on:

  • Compliance with technical specifications
  • Price competitiveness and value for money
  • Supplier’s relevant experience and track record
